Six steps. Each one leaves a record.

What your team does at each stage of a customer relationship, and what FirmScreen writes down while they do it.

      Add the customer

Enter a person or a company: name, date of birth, nationality and country. For a company, add its directors, shareholders and beneficial owners with their ownership percentages. Or upload up to 500 customers from a spreadsheet.

RecordedWho added the customer, when, and every field as entered.

      Screen

Nothing to do: one search covers the UK, UN, OFAC and EU sanctions lists, the PEP data and HMRC’s deliberate tax defaulters. Every owner and director is screened too.

RecordedThe result for each list, and which version of each list was checked.

      Review possible matches

Each possible match opens a case with a risk level and an owner. Compare your customer and the list entry side by side, then close it as a confirmed match or a false positive.

RecordedThe decision, who made it, and the reason given.

      Rate the risk

FirmScreen proposes a low, medium or high rating from country risk, PEP status, screening results, adverse information, sector, onboarding channel and ownership. Where enhanced due diligence is due, record it: senior management approval, source of wealth and funds for PEPs, and the guided adverse media check.

RecordedThe rating, what drove it, the EDD steps taken and the next review date.

      Keep monitoring

Nothing, unless something changes. Every customer is re-screened daily by default (or weekly, or monthly). A new match opens a case and tells the team.

RecordedEvery re-screen, with the list versions it used.

Export an evidence pack for any customer in one click, or a compliance report for the MLRO. When a relationship ends, record it: the file is kept for five years, then you’re prompted to delete it.

    FAQ

    Questions firms ask

    Still have a question?
    hello@firmscreen.io

    1. A name is enough to run a check. Adding a date of birth makes a real difference: it rules out namesakes, so far fewer innocent people are flagged for review. Nationality and country help too.

    2. Each one becomes a case with a risk level, an owner and notes. Your analyst compares the customer with the list entry side by side and closes the case as a confirmed match or a false positive, recording the reason. Nothing is closed without a reason.

    3. Yes. Upload a spreadsheet of up to 500 customers at a time. Each is screened, and can then be added to ongoing monitoring.

    4. Ongoing monitoring re-screens every customer automatically, daily by default. If a customer appears on a list, a case opens and your team is notified, so you can act and record what you did.

    5. Your firm does. FirmScreen records the evidence and your decisions; it doesn’t report to OFSI or the NCA or decide whether to take a customer on.
